How to Pay a Maintenance Invoice

Pay a vendor through PayRent, or record a payment you made by check, Zelle, cash, or another method.

Pay a vendor from PayRent, or record a payment you already made by check, Zelle, cash, or some other way.

Before you start

  • Sign in as a landlord.

  • The invoice has to be on a request you own, and that request can't be archived or canceled.

  • The vendor on the invoice has to be the vendor assigned to the request.

  • To pay through PayRent, the vendor's payout account needs to be ready. If it isn't, use Set up payouts on the Vendors tab. See How to Add a Maintenance Vendor.

  • You can pay before you mark the request completed. Geni can't. It pays only after the work is verified, and never more than an accepted quote plus 10 percent.

Pay through PayRent

  1. Go to Maintenance.

  2. Open PAY on the attention panel. Or expand the request, open Invoices, and start the payment from the invoice row.

  3. In Pay invoice, check the Invoice total, Paid, and Remaining amounts.

  4. Set the Amount. It can't be more than the remaining balance, and the minimum is $0.01.

  5. Choose how to fund the payment. Card payments can go Standard or Instant (the vendor pays a 1.5% fee). Bank payments go out standard, and the note under the speed choice explains that instant needs a card.

  6. Select Pay.

If a payout is still processing, a second pay attempt is rejected. When the payment goes through you'll see Invoice paid, and the vendor gets an email with the amount they'll receive. For ACH payments, that email tells them to allow 3 to 5 days.

Fees come from your plan's rates. If your plan doesn't set them, these defaults apply:

  • ACH adds 0.15 percent once $1,000 has already been paid on that request, or to that vendor in the last 7 days.

  • An instant payout carries a 1.5 percent fee, paid by the vendor.

  • An instant payout above the plan cap goes out as standard, with no vendor fee.

Record a payment made outside PayRent

  1. Open Pay invoice.

  2. Select Mark paid outside PayRent instead.

  3. Set the Amount and Date paid. The date can't be later than today.

  4. Choose Check, Zelle, Cash, or Other.

  5. Select Record payment.

Recording a payment this way doesn't debit you in PayRent or charge the vendor a fee. To switch back, select Pay with PayRent instead.

Upload an invoice first

If the vendor hasn't submitted an invoice:

  1. Assign a vendor on the request.

  2. Open the row menu (⋯) and select Upload invoice.

  3. Choose a PDF, JPG, PNG, or HEIC file.

Uploading stores the invoice but doesn't pay it.
